What information must be in IPDS for a publication under review, relevant to data/software to allow bureau approval from a BAO? [073]

The IPDS record of the manuscript must contain the IP number and DOI of the accompanying data/software release. [Read more]

BAOs look for the following information in IPDS when reviewing publications for approval:

  • Publications: The IPDS Information Product (IP) record for the publication must indicate in the Bibliodata tab the associated IPDS IP record for the data release. The following information should be included in the IPDS IP publication record:
    • In the field “Related IP Number” under the Bibliodata tab, add the IP number of your data release (IP-xxxxxx);
    • In the field “Location of Supporting Data” under the Bibliodata tab, add the Digital Object Identifier (DOI) for the associated data/software release (even if the data or software release is not yet publicly available); and
    • Include a data statement in the Notes in IPDS to also indicate if the data/software are available.

 

  • Data/Software Releases: For the data or software release associated with the publication, the following information should be included in the IPDS IP record of the data/software release (actual data/software files are not included in IPDS):
    • In the field “Interpretive Publication” under the Bibliodata tab, add the IP number of the interpretive product (IP-xxxxxx);
    • Information describing the contents of the data release and/or purpose of the software release (what it is used for), including software type (for example, R script) added under the Record tab within the “Product summary” field, as applicable;
    • citation (including authors, title, and DOI) added under the Bibliodata tab;
    • Files with review comments (at least one qualified metadata review and at least one qualified data review for data releases as outlined in SM 502.8; at least one software code review and at least one domain review for software releases as outlined in IM OSQI 2019-01) and reconciliations for all comments included under the Documents tab; and
    • Metadata and Readme XML and text files associated with the data or software release added under the Documents tab.
